Advertising & Promotion
When making a purchase from or via ccsu.co.uk for any product, including joining clubs and societies (membership fees), payments will be processed through Sage Pay, a division of Sage (UK) Ltd, and Streamline Merchant Services.
We do not store credit card details and use industry standard SSL encryption to ensure the safety of your data.
All payments are made in a live environment - upon clicking 'Pay Now', your credit or debit card will be billed with the agreed amount and your order will be immediately processed.
Once your order has been completed, you should receive a confirmation email and this can additionally be viewed at a later date by viewing the 'Purchase History' section of the website.
These terms shall be governed by English law and are subject to the exclusive jurisdiction of the English Courts. Nothing in these terms shall exclude liability for fraudulent misrepresentation.
Refunds
Refunds are not available on tickets once they have been purchased. However, there are some instances in which a refund may be given:
1. The entire event has been cancelled by us. In this instance, refunds are available to everyone who has purchased a ticket in advance.
2. The event has been pulled whilst in progress. In this instance, a decision will be made by management as to whether refunds will be offered to those with tickets. However refunds will only be given in special circumstances and as approved by management.
3. The event has sold out, and there are people waiting for extra tickets. In this instance refunds may be given, and the tickets then resold to people on the waiting list once the re-sale cash has been received.
4. In all instances management decision is final, based on the individual circumstances, and not open to discussions.
THERE ARE NO OTHER INSTANCES IN WHICH A REFUND MAY BE OFFERED.
If you have a query/problem with this policy, then please ask to speak to the Managing Director or the Opportunities Manager.
Replacements
Lost, stolen, or broken wristbands/tickets will not usually be replaced. It is the responsibility of the ticket holder to ensure its safekeeping prior to the event. Please contact us with any issues you may have with replacement wristbands.
Transfers
Tickets purchased for CCSU events are transferable, once you have your physical ticket.
This Code of Practice seeks to outline the various roles and responsibilities of all parties involved with CCSU Sports and Society activities to actively promote the activities of the clubs and societies and promote and foster good community relationships.
Christ Church Students’ Union agrees to:
- Provide insurance cover for all club and society activities.
- Register all relevant sports clubs for BUCS, SESSA and other pertinent leagues.
- Arrange transport for all matches.
- Provide access to minibus training courses for all eligible students.
- Ensure all tours are organised within the appropriate deadlines and with reputable companies.
- Assist with the general administration for all clubs and societies.
- Ensure results are submitted in a timely fashion to the Opportunities Administrator
- Ensure minibus are run and maintained in a safe and legal fashion.
- The Union will, where possible, source appropriate drop off and pick up points, away from local residents (for example, Old Sessions House).
- Ensure Risk Assessments are conducted for all activities relating to sports and societies and maintain up-to-date records of such risk assessments.
Canterbury Christ Church University Agrees to:
- Provide and maintain adequate space for sports clubs and societies to train and compete in that is safe and well-equipped for the clubs purpose where possible.
- Allow students to be released from their academic commitments on Wednesday afternoons where practicable in order to partake in competitive sport.
- Publicize successes enjoyed by the Sports and Societies Federations in conjunction with the SU.
- Ensure that sporting provision at other sites is considered and where possible source the best local service relevant to the students studying at a particular site.
Christ Church Sports and Society Federation Members Agree to:
- Behave in such a manner as is professional and appropriate for representatives of Canterbury Christ Church University and Christ Church Students’ Union.
- Abide by Union Financial Procedures.
- Attend Wednesday Nights and support the activities of other teams and societies.
- Where possible, raise a positive profile of Christ Church sport and societies in the community and within Higher Education.
- Ensure coaches, minibuses, pitches and other areas are kept free from litter and rubbish.
- Respect coaches, minibuses and drivers at all times.
- Abide by all league and team rules and regulations and demonstrate good sportsmanship.
- Respect fellow team mates and other Team Christ Church Sports Teams and Christ Church Guild of Societies groups.
- Abide by the Union Welcome Events Policy when inducting new students into the club or society, including providing transparency with all activities and submitting detailed plans of the procedure to the Sports Sabbatical for approval at least 10 days prior to the activity taking place. The decision of the Sports Sabbatical is final, and any club or society found to be in breach of the Welcome Events Policy will face a sanction as outlined below.
This Code of Practice does not overrule the Union or the University Disciplinary Procedures or the law. Sanctions for breach of these regulations are outlined in the Union By-Laws. Sanctions for breaching this Code of Practice can include but are not limited to:
- Fining
- Temporary suspension from club or society activity
- Permanent suspension from club or society activity
- Community Service
- Removal from a league, trip or activity
- Removal of transport privileges
- Restriction of club or society access to funds
- Temporary suspension from the Union
- Permanent suspension from the Union
- The Union and the University Disciplinary procedures.
The level of sanction issued will be decided by the President (Sports and Engagement) or the President (Development), and will vary in severity depending on the severity of the behavioural breach and the impact it has had upon the individual, the team, the club, the society or the reputation of the Union or the University. More information can be found within the Union’s Behavior policy under section 3.0.
A student, team, club or society may appeal to the Sports or Societies Executive Committee via the Union President within 3 working days of the sanction being issued against either themselves, or the club or society as a whole. However, the decision of Sports or Societies Executive Committee is final.
Clubs or Societies who abide by the Code of Practice will be considered for the achievement of Club or Society of the Year at varying award ceremonies.
All members of the Societies and Sports Federation will need to agree to this Code of Practice upon point of registration with their chosen club or society.
Acceptable Use Policy
This Acceptable Use Policy is intended to help create an atmosphere in which freedom of speech is balanced by self-discipline and a mature attitude to discussion. We encourage people to join in discussions on this website and it would therefore be very surprising if exchanges did not occasionally become a little heated!
By virtue of your participation in this website and forums, you are deemed to have agreed to abide by the rules. Although we cannot take responsibility for monitoring every message that is sent to the web site, we must reserve the right to remove items submitted from anyone who ignores these rules.
Personal Identification
All messages sent to a discussion will require your username and password, chosen at time of registration. Do not represent yourself as another person.
Use of Language
Content on this website should not be malicious or designed to offend. In particular, the use of swear words or undue profanity is discouraged. By participating in any discussion, you undertake to indemnify us and our employees and sub-contractors against any liability arising from any obscene, defamatory, seditious, blasphemous or other actionable statement published by you on this site and against all damages, losses, claims and costs (including, without limitation, fines and expenses arising out of or incurred in conducting or defending any proceedings) arising from any such actionable statements.
Conduct of Discussion
Comment and Forums are intended primarily for topics relating to CCSU and for the discussion of items of membership interest. Please try to keep to the topic.
No reference should be made to the personality of other participants in a discussion, nor should attacks be made on an individual's character unless the person concerned has already chosen to bring his or her personality into the issue under discussion.
One-to-one arguments, disagreements and disputes of a personal nature must be conducted through private Email and not through public discussion.
You should remember that you are legally responsible for what you write. By participating in a discussion, you undertake to indemnify us and our employees and sub-contractors against any liability arising from any breach of confidentiality, copyright or other intellectual property right published by you on this site and against all damages, losses, claims and costs (including, without limitation, all expenses incurred in conducting or defending any proceedings) arising from any such publication. You must not make statements that are libellous, obscene, seek to incite racial hatred or otherwise break the laws of the United Kingdom.
Private Email and Club / Society emails
If a person has sent you a private e-mail, you may not forward it to a public discussion group without the prior consent of the person who sent it. This does not prevent you forwarding private e-mail to CCSU staff should you consider this appropriate. Any contact information you may be granted access to on the site should remain within it and not used for any other external emailing purposes. Any unauthorised attempt to extract or expose personal information for use outside of the website will be subject to disciplinary procedures.
Complaints about a Breach of these Rules
Complaints about a breach of these Rules should be made by private e-mail to the Head of Engagement.
Deliberate Abuse and / or Misuse of the website
Any attempt to circumvent or manipulate your access rights to the website will be treated as a disciplinary offence and treated in accordance with our disciplinary procedures. Your access to this site is granted to you as an individual and your login details should be treated as strictly private and confidential. It is a disciplinary offence to share your access details with other users. Should you suspect that your account is being used by another person, you should change your password immediately and contact CCSU website staff.

Advertising Terms and Conditions
1. General
1.1 All confirmed bookings will receive confirmation and additional information in due course prior to the event or promotion.
1.2. All reservations are made subject to adherence to CCSU's current active policies which can be found at www.ccsu.co.uk/about.
1.3. Approval of Contents of promotional material and advertising should be requested from CCSU, at least 7 days prior to activity, and CCSU reserve the right to remove and terminate any agreement in place immediately should the content of the media booking be deemed unsuitable for its members.
1.4. Unless otherwise agreed, full payment must be made at least 7 days prior to the commencement of the event or promotion and stallholders must ensure that any outstanding debts owed to CCSU as a result of previous business, from this is connected companies, are cleared. If payment is not received 7 days prior to the date of any planned activity, CCSU reserves the right to cancel any booking made. CCSU will not accept responsibility for any costs borne by any company or organisation who has failed to meet the payment deadline.
2. Freshers' Fayre, Promotional Stalls or similar
2.1 The company or organisation booking the stall (the stallholder) shall name, in writing, an individual who shall be responsible for the stall under these terms and conditions.
2.2 CCSU reserves the right to refuse admission to promote at CCSU controlled spaces to any stallholders who fail to abide by these terms and conditions, or to take action to ensure compliance.
2.3 Stalls may not be sublet unless previously agreed in writing with CCSU. Organisations may only advertise their own products or services. Stall holders should note that CCSU policy may bar the use and promotion of certain products and they are asked to abide by such decisions at all times. Any breach of the agreed promotion may result in the immediate cancellation of a stall without refund.
2.4 Stalls are not transferable. The content of a stall must not be substantially different to that indicated by the name of the stall on the original booking request form.
2.5 In line with CCSU's Ethical, Environment, and Sustainability Policy, stall holders agree to not hand out bags made of plastic at any events.
2.6 For all events, stalls will be allocated in advance and any consideration on stall location shall be viewed based on the type of stall booked and the time of booking. All stalls provide excellent marketing opportunities and a stall location shall not be cause for cancellation.
2.7 Unauthorised promotion outside of the defined agreement is forbidden, and any such activity shall occur additional costs which will be invoiced.
3. Health & Safety
3.1 All stalls are taken at the risk of the stallholder who also has a duty to respect the safety of others within the vicinity.
3.2 The stallholder agrees to indemnify CCSU against any damage to CCSU or Canterbury Christ Church University property or the property of third parties.
3.3 In line with Health and Safety Regulations, Union Safety Officer, prior to the exhibition/display area being made accessible to delegates and the general public, may carry out a Safety Inspection. In order to facilitate the carrying out of any Safety Inspection, stalls should be completed in good time prior to the opening of the event.
3.4 The stallholder must not obstruct access to fire exits or firefighting equipment.
3.5 The stallholder must not endanger the safety of Union staff, University staff, students or any other person(s).
3.6 The stallholder must comply with any Health & Safety instruction issued by the Union or University.
3.7 The stallholder must not move the stall from the designated space provided.
3.8 Stallholders wishing to bring electrical equipment on site must seek prior approval from the event organiser and ensure that each piece of equipment has been tested for safety by a qualified electrician within 12 months prior to the event.
3.9 CCSU reserve the right to refuse the use of any electrical equipment which does not present a valid PAC test sticker/certificate.
3.10 Risk Assessment forms when supplied must be completed and returned prior to the beginning of an event. Should such a form not be received prior to the beginning of an event, any stall holder may be prevented from setting up until such time as an assessment has been completed.
3.11 Any stall holder wishing to have any type of pressurised cylinder on their stall must ensure that this is secured appropriately and to the satisfaction of the University Safety Officer. If asked, stallholders must remove any cylinder immediately.
3.12 In line with EU Food Information for Consumers Regulation (EU FIC) (13 December 2014), any stall wishing to give away food or beverages must provide allergen information. This is via a label on food and drink that is prepacked, or an information sheet for prepared food and drink.
3.13 Any stall holder wishing to give away non-prepacked or prepared food/beverages must be able to provide a level 1 Food Hygiene Certificate for the person responsible for the preparation and care of the food and beverages on the day of the event.
4. Conduct
4.1 Promotional staff must not attempt to solicit custom or in any way promote their organisation in any part of the University or Union, or attached land, other than the space which has been designated and defined by CCSU.
4.2 The distribution of alcohol in any form is not permitted, unless otherwise agreed in writing.
4.3 Promotional staff are responsible for the decoration and promotional material on their own stall and under no circumstances should stalls be moved from their assigned location.
4.4 Promotional staff are responsible for clearing up their stall, the removal of all cardboard and all rubbish in, on, or around it. CCSU reserves the right to dispose of any material left on site by the stallholder following the end of the event.
4.5 Stallholders posters must not cover any Union posters or displays or in any way interfere with emergency exit or any other emergency signage. Unauthorised posters or advertising will be removed.
4.6 Stallholders may play music on their stall provided that this forms part of the agreed activity.
4.7 Stallholders must ensure that music or any other noise emanating from their stand is played at a reasonable level and does not cause annoyance to other stallholders and areas around the allocated space.
4.8 Stallholders must behave in a considerate and responsible manner, at all times, towards Union & University staff, members of the public and other stallholders. Failure to do so may result in expulsion from the premises. This extends to all persons acting on behalf of stallholders.
4.9 Stallholders will not be granted access to electric power unless these facilities have been requested in advance and their provision confirmed.
4.10 Promotional staff must comply with reasonable requests by CCSU or University staff.
4.11 Stallholders who fail to return any items provided by CCSU or the University will be charged for a replacement as new, as well as an administration charge of £25 for each item not returned.
4.12 CCSU and the University reserves the right to use photographic images and/or videos of any Media Sales activity.
5. Data
5.1 I understand and agree that by completing this Media Sales Booking Form, I am giving CCSU explicit permission to use my details for the purpose of making arrangements for the stated Media Sale booking and to remain in contact with me regarding Media Sales as a legitimate interest.
5.2 I understand that CCSU will hold this information for six years as required for auditing purposes.
5.3 I understand that I can access information on what data CCSU holds, how it is managed, my rights and how to make a complaint through referring to the CCSU Data Protection Policy.
5.4 CCSU will only use the data you provide for the purposes stated within this form. You can find CCSU's Data Protection Statement at www.ccsu.co.uk/about/data.
6. Payment
6.1 All quoted prices are excluding VAT which is applicable to all promotional activity at the prevailing rate.
6.2 All bookings are subject to availability and acceptance of CCSU's Terms & Conditions.
6.3 Formal invoices will be issued as soon as is appropriate to each form of promotion and payment must be received in full prior to any marketing taking place.
6.4 Any unauthorised promotion will result in such parties being immediately removed from CCSU or Canterbury Christ Church University property.
7. Cancellation
7.1 All cancellations must be made in writing and be received by CCSU at least 7 clear days prior to an event/planned activity.
7.2 Should a cancellation be received after the deadline, CCSU reserves the right to charge a late cancellation fee, which shall be 50% of the original cost.
7.3 If no cancellation is made, or if the cancellation is received after commencement of the event, CCSU reserves the right to charge the client the full cost of hiring the stall, plus an additional administration charge of 25% of the original cost.
7.4 FORCE MAJEURE. Neither Party will be liable for any failure or delay in performing an obligation under this Agreement that is due to any of the following causes, to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, epidemic, pandemic, quarantine, civil commotion, breakdown of communication facilities, breakdown of web host, breakdown of internet service provider, natural catastrophes, governmental acts or omissions, changes in laws or regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or energy.
8. Other
8.1 The Promoter agreed to act in good faith with CCSU and associated parties.
